Installation

The Installation Assist page and app provide a list of items to test, and things to do, to complete a successful installation. Most items are marked tested automatically but there is also a manual list of items that must be checked off when done.

When the installation is marked as complete the system will also send emails to the customer and PM. The customer email lists what was tested and allows the customer to sign off on the installation.

For this feature to work Call Accounting (from the Hotel page) must be enabled. It can be disabled post install if not in use.

Most of the system testing is marked complete automatically as the installation progresses.

  • Rooms are marked tested when a call is made from the room (i.e. to 888 or 0)

  • Admin phones are marked tested as soon as they are registered.

  • Both admin and guest phones can have exceptions added (i.e. jack issue, missing phone) and doing so will show the phone as tested but yellow, not green.

  • System testing happens automatically when these features are tested (i.e. calls to 933, calls to 0)

These items are checked manually as completed. These can be checked from the ConnectWare GUI or from the mobile app.

Each field tech should use the mobile app as this will allow them to preform several tests for guest and admin phones along with being able to mark checklist items and gain other system information.

Logging In

Anyone with a reseller level account can log into the mobile app using their standard username and password. Once logged in they will be able to select from a list of domains with those being installed listed first.

Using the Setup Login Link User a contractor or smart hands tech can be invited to login. If done this way there are two differences from a normal user.

  1. They are allowed to access this one domain only.

  2. Their account is valid for one week, after that its automatically deleted.

Once logged in there are four pages that can be accessed using the page selection at the bottom of the app.

  1. Checklist: Mark system testing as done, view remaining testing.

  2. Admin: View and test admin phones.

  3. Rooms: View and test guest room phones.

  4. Profile: Edit profile picture.

Actions

One of the most powerful aspects of the mobile app is the ability to preform actions on a guest room phone, these include:

  • Call the phone

  • Set MWI and voicemail

  • Set room status

  • Send billable call from the room to the PMS (if installed)

  • Set wakeup call for 1 minute into the future

Exceptions can also be set along with being able to add notes and take pictures should the need arise. Finally the app displays the last call made to or from the phone, allows it to be marked for review (using the notes field in the call history page) and displays the MAC address for the registered gateway.

Once the installation has been completed the Complete Installation button can be clicked. Doing this will allow the section of what user receives the installation summary email.

An installation can be marked complete only once, make sure to select the correct user and ensure they have a valid email setup.

The user will then receive an email summarizing the installation and allowing them to click a link to mark the installation as done. The PM will also receive an email with all internal notes and any pictures taken.
